The headline statistics count philanthropic gifts only (Annual Fund and gala giving); the all-transaction view sits beside them so the totals tie to the Overflow report. Five findings the retreat conversation should start from

How to read the two totals. Overflow recorded $720,457 of FY2026 transactions; the general ledger closed the year at about $809,000 of philanthropy. The difference is mostly the 2026 gala, which ran outside the platform. When Herzog asks for “total donor revenue,” the ledger number is the answer; the Overflow number is what the donor list can currently explain.

The FY2025 gap. Overflow captured about a fifth of what the ledger booked in FY2025, so roughly $335,000 of gifts (checks, stock, donor-advised funds) have no donor record in this list. Some donors shown as “lapsed” may have given offline. Reconciling FY2025 deposits to donors, then loading the clean file into Bloomerang, is the most valuable data task before the retreat.

Concentration: two donors are more than half the year. In FY2026 six donors at $25,000+ gave $576,843, 81% of philanthropic revenue; the Haque family’s $250,000 is 35% and with Rockwater the top two are 57%. FY2024 had the same shape (three donors = 80%). FY2025, with no $25K gift, fell to $84,000. DDCA’s fundraising result is essentially whether two or three transformational gifts arrive in a given year.

What three years tell us
The patterns behind the numbers

The middle is missing. Donors at $1K–$25K number 13, 16 and 19 across the three years. Twenty-five donors gave $1,000+ in FY2026 out of 63; the base under $500 shrank from 100 to 26 once the gala left the platform, which says most small donors were event guests, not annual-fund givers.

Retention is the leak. Fundraising Effectiveness Project norms sit in the low-to-mid 40s overall and above 60% for repeat donors. DDCA is well below both. New-donor dollars in FY2026 were extraordinary; the retreat question is what it takes to keep them.

Recurring givers are the model and the warning. Constance Bales ($500 a month, every year), Roger Olson, Sarah Swanson, Garrett Spiegel and staff give on a rhythm. Two of the most consistent monthly givers of FY24–25, Stephanie Hamblen and Ashley Lomas, stopped in 2025.

Institutions are under-developed. Reality SF Church ($65K over three years), Rockwater Foundation, National Christian Foundation, Crane Data Center, WAC Oceanview and Bethel Church all gave. There is no church-partnership or foundation strategy behind those gifts yet.

Two cream-shaded columns are yours to complete: Constituency (current parent, alumni parent, grandparent, board, staff, church partner, foundation, business, friend) and Notes / next step. Obvious cases are pre-filled. Until parents are coded, family participation rate, the number Herzog will ask for first, cannot be calculated.

Housekeeping the list surfaced. Duplicate households under different emails (Tyler Kastelberg twice; Albert Lee and Albert and Renee Lee; Victoria Louie / Victoria Smithson; Christine Moon under two names). Forty-six FY2026 records have no email, mostly $10–$50 event purchases. “Anonymous Donors / Annual Fund” carries a $54,143 FY2026 gift that presumably has a real name internally.

July is month 1 of FY2027. Academy tuition for 2026–27 has been billed in full and sits in deferred revenue; none has been recognized yet, while a full month of payroll has been paid. The July deficit is a timing artifact, not a trend.

What to say about tuition at the retreat
Three facts that shape the case for support

Sticker is below market, discounting is above guidance. $23,200 sits under the SF private-elementary average (~$24,300) and roughly half the elite independent rate, while a 30–33% discount rate is above the NAIS median (~22–26%) and the playbook’s 30% ceiling. The board has discussed a glidepath toward 26% by growing gross tuition faster than discounts, not by cutting aid.

Financial aid is the school’s largest donor-funded “program.” $282,925 of aid credits this year, $306,385 to 21 families last year. It is not yet presented to donors as a named scholarship fund they can give to directly.

Capacity, not price, closes the gap. At $15,600 net per seat against a $2.66M budget, the board’s model needs the building filled to ~120 and the Women’s Center to ~165 before the giving need falls from ~$943K toward ~$283K. Philanthropy bridges those years.

The $23,200 rate is as provided by Pastor T; add the Nest (preschool) rate card if Herzog asks for the full schedule. Preschool billed $16,471 in July.

On dependence and the pyramid
Two gifts were 57% of FY2026 and the Haque family skipped FY2025. What is the plan for FY2027 if neither transformational gift repeats, and what is a realistic three-year path from 6 donors at $25,000+ to 12 or 15?
The $1,000–$25,000 tier has been stuck at 13–19 donors for three years. Who are the 30 households most capable of joining it, and who on the team owns each relationship?
Should the annual fund be rebuilt as a pledge-based, monthly-giving program with a fall launch, given that 86% of dollars arrive December–March while cash is thinnest in the fall?
On retention and relationships
Only 25% of FY2025 donors gave again in FY2026. What happens in the ninety days after a first gift today, and what should? What would it take to get repeat-donor retention above 60%?
Which of the fourteen lapsed $1,000+ donors should get a personal visit this fall, and what happened with the two monthly givers who stopped in 2025?
Roughly 100 households a year give only through an event. What is the intentional path from gala guest to annual-fund donor, and is the gala designed as a fundraiser or a friend-raiser?
On the case for support
Financial aid is $283,000 this year and the discount rate is 33%. Should DDCA create a named scholarship fund and ask donors to fund tuition assistance directly, rather than a generic operating gap?
Philanthropy covered $809,000 of a $2.44M cost base in FY2026 and the school still finished at ($48K). The budget names $410K, the open gap is $533K, the stretch goal is $1M. Which number is the annual fund organized around, and what pyramid does it take?
How does the campus expansion (Women’s Center, Cesar Chavez preschool site) fit with annual giving: a separate capital campaign or one integrated case?
On infrastructure and capacity
Bloomerang has just been purchased. What is the plan to reconcile Overflow to QuickBooks for FY2025–FY2026, code constituencies, and migrate a clean file, and who owns monthly reconciliation from here on?
Fundraising was 1.2% of expenses in FY2026 and the 2026–27 budget funds an advancement team for the first time. What are that team’s accountabilities and metrics (retention, participation, dollars at each tier), and how will the board measure return?
What is the board’s own giving expectation? The ledger shows $10,020 of board contributions in FY2025 and none coded as board in FY2026. Is 100% participation a stated policy?
Reality SF has given $65,000 over three years and other churches small amounts. Is there a church-partnership strategy, and what does Herzog’s network of schools say works?

Data caveats to state up front
So the numbers are used with the right confidence

Overflow is incomplete for FY2025: about $86,700 recorded against roughly $421,000 of raised support in the ledger. Offline gifts were not keyed in. FY2026 is about 88% complete; most of the remainder is gala revenue that ran outside the platform.

No FY2026 gala transactions are in Overflow, so the FY2026 donor count understates the households who gave something during the year.

The export mixes gifts with purchases (theater and gala tickets, swag, childcare, movie night, car wash). About $12,000 across three years is clearly non-philanthropic and is excluded from the headline statistics; gala ticket revenue is treated as philanthropic because it cannot be separated from paddle-raise giving.

Nine FY2026 rows have no campaign and are treated as Annual Fund. One $1,500 chargeback is netted in FY2026.

No constituency coding exists, so parent, board and alumni-family participation rates cannot be calculated until the workbook column is filled in.

FY2025 ledger figures are eleven months (through May 2025); FY2026 uses the June year-end close. The July 2026 balance sheet opens net assets at $599,455 versus $610,245 at the June close, a small closing adjustment.
